What is a Day-of Coordinator, and What Do They Do?

A Day-of Wedding Coordinator ensures that the vision and theme of YOUR day are executed perfectly. Unlike a wedding planner, who works with couples months or years in advance to book vendors, negotiate contracts, and handle all the logistics (often at a high cost), a Day-of Coordinator steps in during the final stage to make sure everything runs smoothly.  I may not create your seating plan, but I’ll make sure place cards are correctly numbered and placed in the right spot—and so much more throughout your big day!

Why You Need a Day-of Coordinator?

With the right Day-of Wedding Coordinator, YOU can fully enjoy your ceremony, reception, and all surrounding events—stress-free!

What a Day-of Coordinator Does?

✅ Is the one person you can count on and will be there from the begining of your day to the end.

✅ Conducts an overview of vendor contracts and to make suggestions for balance and smooth flow of event day.

Conducts a site preview and final walk-through the week before the wedding.

✅Verifies and confirms vendors are ready for big day and suggest timeline for set-up and clean up.

✅ Suggests optimal setup for your ceremony and reception and follow through (if no Planner is involved).

✅ Creates or works with Planner to write an optimal scheduled timeline for the event day.

✅ Assists with rehearsal and officiant coordination.

✅ Helps organize the processional lineup for a seamless ceremony.

✅ Acts as the main contact for vendors, guests, and the venue, so you don’t have to stress.

✅ Ensures ceremony and reception décor is arranged as requested.  

✅ Greets guests and guides ushers for seating arrangements.

✅ Helps pin on boutonnières and corsages and assure bouquets are distributed correctly.

✅ Keeps track of important items like the marriage license, ketubah, rings, and Unity Ceremony Ritual elements.

✅ Collects and distributes ceremony items at the designated site.

✅ Confirms proper placement of favors, place cards, and guestbook setup.

✅ Oversees the champagne is ready for distribution or placement.

✅ Lights ceremony candles, turn on lights, etc. when needed.

✅ Oversees setup of Sweetheart Table, guest tables, guest book, gift table, memory table, cake table, and rentals of any kind.

✅ Keeps the wedding flowing smoothly and on schedule according to time line.

✅ Will notify staff hired for trash, that overflow is needing immediate attention during the event.

✅ Ensures a responsible person transports gifts from the reception to their final destination.

✅ And, most importantly—is ready for anything needing attention, replacement, or whatever!

What does a Day-of Coordinator Typically NOT Do?

❌ ...Bring in vendors, but can make great suggestions on who you might hire.

❌ ...Manage vendors already contracted, but can do our best to keep them on track, handle and discuss immediate issues directly with vendor management, if needed.

❌ ...Guarantee vendor professionalism, but will do our best to suggest those vendors follow your requested desires.

❌ ...Set up tables and chairs, but may be able to help find people to do that for a fee.

❌ ...Lay out linens, unless contracted for a fee.

❌ ...Serve food or cakes we do not have the health department clearance for this.

❌ ...Bartend, because we do not carry a liquor license. 

❌ ...Assemble centerpieces or décor, but we can improvise should an issue arrise.

❌ ...Move chairs between ceremony and reception, but we might be able to find someone who will for a fee.

❌ ...Handle cleanup or final pack-up at the end of the night.
